# Room types & inventory

The master list of rooms, the pricing model for each, and the inventory figure behind every occupancy and RevPAR number you read.

The Room Types section of Settings is the master list of every active room in the property. It holds the four fields the rest of revhero reads: **Pricing Model**, **Order**, **Base Occupancy** and **Inventory**.

This section is built for you when the property is set up. Your room types are ingested from webhotelier and the inventory figure for each one is agreed and entered by us. It is then locked, so the numbers every report divides by cannot drift.

Inventory matters more than it looks. The sum across rooms is your **Total Inventory**, the denominator behind occupancy and RevPAR on the Dashboard, in Daily Performance and in Budget. That is why it is set once, carefully, and kept correct as part of the service.

Find it under **Administration → Settings → Room Types**.

*Rooms come from webhotelier. Inventory is set at set-up, and the sum of it is what every occupancy and RevPAR figure divides by.*

## What the room row holds

| Field | Where it comes from | Example |
| ---------------- | ------------------------------------------------ | ------------------------------------- |
| **Room Code** | webhotelier | `DBLSV` |
| **Room Type** | webhotelier | *Standard Room with Sea View* |
| **Unit Type** | webhotelier | Room, Studio, Suite, Villa, Apartment |
| **PAX** | webhotelier — the occupancy range the room sells | `1–2`, `1–4` |
| **Max Adults** | webhotelier | `2`, `3`, `4` |
| **Max Children** | Worked out by revhero from your published rates | `0`, `1`, `2` |

Rooms are created and described in webhotelier, never inside revhero.

The four fields set at set-up:

| Field | What it controls |
| ------------------ | ----------------------------------------------------------------------------------------------------- |
| **Order** | Display position in Pricing, the Yielding Board, Daily Performance and the rate recommendation widget |
| **Pricing Model** | Per Occupancy (derives from the base) or Per Unit (priced on its own) |
| **Base Occupancy** | The reference occupancy the room's rates are built around |
| **Inventory** | The number of physical rooms in this category |

## Per Occupancy or Per Unit

| Model | Used for | What happens |
| ----------------- | ---------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------ |
| **Per Occupancy** | Standard rooms that should move with your base rate | Every rate derives from the base room, base board and 2 adults, plus supplements. One decision propagates everywhere. |
| **Per Unit** | Villas, apartments, large suites — anything priced independently | The unit carries its own rate per board. Occupancies still derive within the unit, but it does not follow the base room. |

Most properties mix the two: 8 standard rooms on Per Occupancy and 2 villas on Per Unit, say. Pricing then shows both tabs.

Per Unit rooms are given a base occupancy that matches how the unit really sells. The choice matters, because yielding the rate at base occupancy also sets every lower occupancy to the same rate. A villa selling 1 adult, 2 adults, 2 adults plus a child and 3 adults, with base occupancy at 3 adults, takes the 3-adult rate down to all 3 lower combinations.

Per Occupancy rooms use 2 adults as their base occupancy, because the whole derivation system uses that as its reference. Single rooms use 1 adult.

## Inventory, and the out-of-order rule

Inventory is the physical room count for each category. It is agreed with you at set-up and then held steady, because every percentage in the product depends on it.

Rooms temporarily out of order — maintenance, refurbishment, a deep clean — should **not** be deducted from inventory. Doing so distorts every historical comparison you will ever run, including same-time-last-year. Mark them out of order in your property management system or channel manager instead. Occupancy adjusts on its own, because available room nights fall while the denominator holds.

Inventory is changed only for permanent changes: 2 doubles converted into one suite, a wing taken out of service for good, or new rooms added. Email **<support@revhero.com>** when that happens and we will update it. Future occupancy and RevPAR use the new figure; historical figures stay as they were.

## Order

The Order column drives the row order in Pricing, the Yielding Board, the Daily Performance table and the rate recommendation widget. The convention is standard at the top, premium at the bottom — standard double, twin, superior, junior suite, suite, villa. That matches the natural rate hierarchy and makes every screen scan the same way. The base room sits at the top.

## When you want a change

New rooms, a retired category, a permanent inventory change or a different pricing model for a room are all handled for you. Email **<support@revhero.com>** with what has changed. We ingest the change from webhotelier and reconfigure the property, so the structure and the numbers stay accurate.

| What you see | Usually because | What to do |
| -------------------------------------------------- | ---------------------------------------------------------------------------------------- | ---------------------------------------------------- |
| Total Inventory does not match your own room count | A room count has changed at the property | Email <support@revhero.com> with the correct figures |
| A new room is not listed | The change has not been ingested yet, or the room does not yet meet the conditions below | Email <support@revhero.com> |
| A suite appears on the Per Occupancy tab | Its pricing model does not match how the room sells | Email <support@revhero.com> |
| Occupancy is blank across the product | Settings is not yet complete for this property | Email <support@revhero.com> |

A room appears here only if it is active in webhotelier, has an active parent rate plan, and that plan has rates loaded for at least 1 day.

{% hint style="info" %}
Inventory can be set to zero. A zero-inventory room contributes nothing to occupancy and RevPAR but still appears in Pricing and on the Yielding Board if it carries rates — useful for a category you have retired but not removed.
