# Supplements

Room type, board, extra adult and children supplements — what each one does, the calculation policies each one offers, and which to choose.

A **supplement** is an amount that raises or lowers a rate, compared to the base rate.

Supplements are the controls inside a supplement structure. They turn 1 base rate into hundreds of end rates. They describe how each room type, each board, each extra adult and each child changes the rate. A **board** is a meal plan, such as room only or half board. An **end rate** is the rate revhero calculates for 1 room type, 1 board and 1 occupancy.

## What supplements give you

| What you get | What it means in practice |
| --------------------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **1 number moves a whole season** | Change the base rate and every room type, board and occupancy in that period moves with it, in proportion. |
| **Your commercial rules written down once** | The gap between a standard room and a suite, the price of half board, what a second child pays — all held in one place, not in a spreadsheet and somebody's memory. |
| **A different set of rules per season** | Each period's structure holds its own supplement values. The sea-view premium and the child discount can be one thing in February and another in August. See [Periods & seasons](/revhero-docs/setting-your-rates/pricing/periods-and-seasons.md). |
| **A choice of calculation policy per family** | Per room or per person, a fixed € amount or a percentage, a charge or a discount. You match how your contract is written rather than converting it. |
| **Live on both Yielding Board views** | Publish, and the end rates reach Table View and Calendar View for every date the structure's periods cover. |
| **Every rate explainable** | Each end-rate cell has an information icon showing the values that built it. |

![How one base rate becomes the rate a guest sees](https://272652298-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FnzEa7YGji6t92Mfc0ZJ1%2Fuploads%2Fgit-blob-a603e00b744328f220b14be9415a75301aedfa30%2Fhow-an-end-rate-is-built.svg?alt=media)

Each supplement adds to the base rate in turn. You change the base rate once, and every combination moves with it.

There are 4 families of supplement. The single supplement is a special case and has [its own page](/revhero-docs/setting-your-rates/pricing/single-supplement.md).

| Family | Where it applies | Modes available |
| ------------------------ | ----------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------ |
| **Room Type Supplement** | Every room type above the base room | Per Room or Per Person; a fixed € amount or a percentage |
| **Board Supplement** | Every other board column | A charge per adult, plus a charge or a discount per child. It can also work downwards, as a percentage off the base board's end rate |
| **Extra Adult** | Each adult above base occupancy | Per Person Charge or Per Person Discount |
| **Children** | Each child in the cell, in 3 groups | Per Person Charge or Per Person Discount |

The [single supplement](/revhero-docs/setting-your-rates/pricing/single-supplement.md) has its own 2 calculation policies: **Per Person Charge** and **Base Discount**.

Open **Pricing**, open a structure, then choose **Edit Supplement Structure**. The supplements sit in the columns to the right of each room type's rows. There is 1 column per family. The **Calculation Policies** column on the far left labels each row and carries the **Override Charges** dropdown, where the minimum occupancy charge is set.

Every example on this page uses the same Base Rate of €200 for 2 adults. The per-person rate is therefore €100.

## Room Type Supplement

This supplement makes a sea-view room or a junior suite cost more than the base room. The calculation policy you choose decides how the supplement behaves as occupancy and the Base Rate change.

| Calculation policy | What it does |
| ------------------ | -------------------------------------------------------------- |
| **Per Room** | Applied once to the room, whatever the occupancy |
| **Per Person** | Applied to each guest in the room |
| **Fixed € amount** | The same € value whatever the Base Rate is |
| **Percentage** | A share of the base rate, so it moves when the Base Rate moves |

You choose 1 from each pair: Per Room or Per Person, and a fixed € amount or a percentage.

The table shows a sea-view room on a €200 Base Rate:

| Mode and value | 2 adults | 4 adults |
| ---------------- | -------- | -------- |
| Per Room, +€30 | €230 | €230 |
| Per Room, +30% | €260 | €260 |
| Per Person, +€15 | €230 | €260 |

Choose **Per Room** when the extra cost comes from the room itself, such as the balcony, the view or the floor area. Choose **Per Person** when the extra cost grows with the number of guests, such as lounge access.

Choosing Per Person by mistake is the most common reason a suite looks too expensive at high occupancy.

The choice between a fixed € amount and a percentage decides what happens when your Base Rate changes. A fixed €30 is 15% of a €200 Base Rate, but only 11% of a €280 peak Base Rate. Set the supplement as a percentage and the gap between your room categories keeps its shape all year.

## Board Supplement

Each board above the base board adds a charge per adult. It also adds a charge or a discount per child. It can also work the other way, as a percentage reduction from the base board's end rate.

| Calculation policy | What it does |
| -------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Charge per adult** | A € amount added for each adult in the cell |
| **Charge per child** | A € amount added for each child |
| **Discount per child** | A reduction for each child, instead of a charge |
| **Percentage reduction from the base board** | The board is priced down from the base board's end rate. Choosing it turns off the per-adult and per-child boxes, because the reduction replaces them. |

Only boards with a rate plan assigned in [Settings](/revhero-docs/your-hotels-setup/settings/rate-plans-and-boards.md) appear as columns. The base board is locked into the first column and has no supplement. Its cost is already inside the Base Rate.

This example uses a €200 Base Rate, half board at €25 per adult, and children at half the adult amount, so €12.50 per child. The extra adult here pays the full per-person rate of €100.

| Occupancy | Room rate | Board added | End rate |
| ----------------- | --------- | ----------- | -------- |
| 2 adults | €200 | €50 | €250 |
| 2 adults, 1 child | €200 | €62.50 | €262.50 |
| 3 adults | €300 | €75 | €375 |

### When your base board is the most inclusive one

Some properties sell all inclusive as their main product and price everything else down from it. If that is you, set all inclusive as your base board and use the percentage mode: each other board is then a reduction from the base board's end rate, rather than a charge added to it.

Half board at 20% off and bed and breakfast at 35% off a €250 all-inclusive end rate gives €200 and €162.50. Choosing the percentage mode turns off the per-adult and per-child boxes, because the reduction replaces them.

## Extra Adult

The 3rd adult in a room built for 2 is your *first* extra adult. The 4th adult is the second extra adult, and so on.

| Calculation policy | What it does |
| ----------------------- | ---------------------------------------------------------------------- |
| **Per Person Charge** | Each extra adult pays a fixed amount you set |
| **Per Person Discount** | Each extra adult pays the per-person rate, less the percentage you set |

Most properties use **Per Person Discount**. The extra adult pays the per-person rate, less a discount. This example uses a €200 Base Rate and a 30% discount for each extra adult, so each extra adult pays €70.

| Step | Occupancy | What is added | Running total |
| ---- | --------- | ------------------------------ | ------------- |
| 1 | 2 adults | The Base Rate | €200 |
| 2 | 3 adults | €70 for the first extra adult | €270 |
| 3 | 4 adults | €70 for the second extra adult | €340 |

Use **Per Person Charge** instead when a contract fixes a flat amount for each extra adult.

## Children

Children sit in 3 groups. Most contracts price the first child differently from the second, which is why the 3 groups exist.

| Group | Who it covers |
| -------------- | ---------------------------- |
| **1st Child** | The first child in the room |
| **2nd Child** | The second child in the room |
| **Additional** | Every child after the second |

Each group takes the same 2 calculation policies.

| Calculation policy | What it does |
| ----------------------- | --------------------------------------------------------------- |
| **Per Person Charge** | The child pays a fixed amount you set |
| **Per Person Discount** | The child pays the per-person rate, less the percentage you set |

If your property sells 1 child rate only, set the same value in all 3 groups with **Bulk Update**.

The usual pattern is Per Person Discount, with a larger discount than the adults get. This example uses a €200 Base Rate, a 50% discount on the first child and a 75% discount on the second child.

| Step | Occupancy | What is added | Running total |
| ---- | -------------------- | ------------------------ | ------------- |
| 1 | 2 adults | The Base Rate | €200 |
| 2 | 2 adults, 1 child | €50 for the first child | €250 |
| 3 | 2 adults, 2 children | €25 for the second child | €275 |

So 2 adults and 2 children pay €275 on the base board.

Set children to a full charge and they pay the adult rate. That is rarely what anyone intends. It is a common reason family bookings stop arriving after a structure change.

## Minimum Occupancy Charge

For each room type, you can set a minimum priced occupancy. For example, a family suite can always be charged at 2 adults plus 2 children.

Smaller parties can still book the room. They simply pay that rate.

Set it through the **Override Charges** dropdown in the Calculation Policies column. Use it where a room type's break-even sits above its lowest physical occupancy.

## Supplements change with the season

A supplement value belongs to 1 structure, and a structure covers the periods you attach to it. So the same control can hold a different value in each season.

The same sea-view room, in 2 structures:

| Season | Base Rate | Sea-view Room Type Supplement | Sea-view end rate, 2 adults |
| ------ | --------- | ----------------------------- | --------------------------- |
| Low | €120 | +15% | €138 |
| Peak | €300 | +15% | €345 |

Set as a percentage, the premium keeps its shape all year and you maintain 1 number. Set as a fixed €30, the same room is 25% more expensive than the base room in low season and 10% more in peak — and you have to remember to change it twice a year.

Where a season genuinely needs a different rule, not a different rate, give it its own structure and set the value there. A half-board price that rises in summer and a child discount that narrows in peak are both normal. See [Periods & seasons](/revhero-docs/setting-your-rates/pricing/periods-and-seasons.md).

## Bulk Update

**Bulk Update** applies a supplement across many room types at once. Pick the room types and a common board, set the values, then click **Apply**. Revhero writes the values across every room type you selected.

Use it to set the single supplement to 0 everywhere, to roll out 1 children rate, or to move a family of supplements from fixed € amounts to percentages.

It cannot set **Room Type Supplements**. Those are what make one room cost more than another, so they are entered room by room.

{% hint style="info" %}
Bulk Update applies only to the room types you have selected. If you have filtered the grid, check the selection count before you click Apply.
{% endhint %}

## Check the result, then publish

Pick a cell where you already know the correct rate. Confirm revhero produces it. If it does not, open that cell's information icon. The icon shows which values built the rate, so a wrong rate points straight at the supplement that caused it.

Any supplement change returns the structure to Draft. Click **Publish** to send the new end rates to the Yielding Board.

## When a rate is not what you expected

| What you see | Usually because | What to do |
| -------------------------------------------------------- | ------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------ |
| A rate rises with occupancy when it should not | The Room Type Supplement is set to Per Person | Change it to Per Room |
| Children are charged like adults | The children groups are set to a charge, not a discount | Change them to Per Person Discount |
| A whole board column is missing | No rate plan is assigned to that board | Assign one in [Rate plans & boards](/revhero-docs/your-hotels-setup/settings/rate-plans-and-boards.md) |
| A Per Unit room type ignores your extra adult supplement | Per Unit room types are priced on their own, not from the Base Rate | This is correct. Price the unit on the Per Unit tab. |

Supplements cannot be negative. To reduce a rate, use a Discount mode. Do not use a negative charge.

Revhero rejects a value outside the range it accepts as you type, and names the allowed range.
