# The 15-minute daily routine

A 5-step morning routine that finds anything unusual in about 15 minutes.

This is the routine most hotels settle into after their first month. Do it in the morning, before the day fills up. It becomes quicker once you know it well.

The aim is not to react to every number. The aim is to find anything unusual within 15 minutes, and then continue with your day.

![Your day in Revhero: look, review, decide, send](https://272652298-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FnzEa7YGji6t92Mfc0ZJ1%2Fuploads%2Fgit-blob-bbc9e3a34ec870404da34cde50cfbf0a65eb076d%2Fthe-daily-loop.svg?alt=media)

You look, you review, you decide, and you send. New bookings then arrive, and tomorrow you start again with better information.

## Before you start

Open your PMS in another browser tab, so you can check yesterday's figures against it. Have your monthly target ready.

{% hint style="info" %}
If something looks seriously wrong during the routine, **send no rates** until you understand why. Stop and investigate first.
{% endhint %}

## Step 1 — Dashboard (3 minutes)

Open the [Dashboard](/revhero-docs/your-hotels-performance/dashboard.md).

1. Confirm that the **Period** and the **Comparison Period** are the ones you want to read.
2. Check the **Last Upd.** stamp, so you know the data is current.
3. Read the numbers in this order:
   * [Pickup](/revhero-docs/your-hotels-performance/dashboard/pickup.md) — the fastest signal of what changed overnight.
   * [Revenue](/revhero-docs/your-hotels-performance/dashboard/revenue.md), [Occupancy](/revhero-docs/your-hotels-performance/dashboard/occupancy.md), [RevPAR](/revhero-docs/your-hotels-performance/dashboard/revpar.md) and [ADR](/revhero-docs/your-hotels-performance/dashboard/adr.md) — was yesterday a normal night for this day of the week?
   * [Booking Pace](/revhero-docs/your-hotels-performance/dashboard/booking-pace.md) — is the forward position building or slowing?
4. Click into anything that looks unusual.

## Step 2 — Yielding Board (5 minutes)

Open the [Yielding Board](/revhero-docs/setting-your-rates/yielding-board.md) and look at about the next 60 days.

You are building a short list of dates to deal with in step 3. Look for these 4 things:

1. Dates where on-the-books is well behind the same point last year. **On the books** means the confirmed bookings you already hold for a date.
2. Weekends and event dates. These dates carry the most potential extra revenue.
3. Dates where your rate sits well below the market median. See [Market Rates](/revhero-docs/roompulse/market-rates.md).
4. Dates that carry a restriction. Decide whether the restriction is still right.

You are not fixing everything in this step. You are noting which dates need a decision.

## Step 3 — Rate Recommendations (5 minutes)

Open [Rate Recommendations](/revhero-docs/automation/rate-recommendations.md). Filter it to the dates you listed in step 2.

For each date:

1. Read the **suggested rate**.
2. Compare it against your current rate and against the market median.
3. Accept it, edit it, or leave it.

When you have finished the list, send the rates. See [Sending rates](/revhero-docs/setting-your-rates/yielding-board/send-rates.md).

Every send is recorded in the [Event Log](/revhero-docs/automation/event-log.md), with the dates, the old rate, the new rate, the time and your name.

## Step 4 — Event Log (1 minute)

Open the [Event Log](/revhero-docs/automation/event-log.md) and look at the last 24 hours.

You are looking for anything you did not do yourself. Ask 2 questions:

1. Did a colleague send rates or change a setting? On which dates?
2. Did any send fail? Failed sends are marked. See [Investigating a rate send](/revhero-docs/automation/event-log/investigating-a-rate-send.md).

If nothing surprises you, move on.

## Step 5 — Look further ahead (1 minute)

Return to the [Yielding Board](/revhero-docs/setting-your-rates/yielding-board.md) and move forward 2 or 3 months.

You are not acting on these dates today. You are watching for a group of soft dates together, because that is the early sign of a weak period. If you find a soft September in early July, you have 8 weeks to fix it. If you find it on 1 September, you have no time at all.

## Once a week

Monday morning is the usual choice. Add about 10 minutes for these 3 checks:

1. [Daily Performance](/revhero-docs/your-hotels-performance/daily-performance.md) — last week's pickup against the same point last year.
2. [Budget & Target](/revhero-docs/your-hotels-performance/budget-target.md) — month to date against plan, and the forward [forecast](/revhero-docs/your-hotels-performance/forecasting.md).
3. [Market Rates](/revhero-docs/roompulse/market-rates.md) — are all your competitors still returning rates?

## Once a month

On the first working day of the month, add about 20 minutes for these 3 tasks:

1. Close the previous month in [Budget & Target](/revhero-docs/your-hotels-performance/budget-target.md) and record the actual figures.
2. Set or review next month's targets.
3. Review the month's rate changes in the [Event Log](/revhero-docs/automation/event-log.md).

## When not to follow the routine

Send no rates on a day when any of these 3 things is true:

1. **Yesterday's revenue in Revhero is clearly different from your PMS.** Find out why first. See [Troubleshooting](/revhero-docs/support/troubleshooting.md).
2. **Fewer than 3 competitors are returning rates.** Your market comparison is then weak, so any decision built on it is weak too.
3. **You have had a major operational event** — an outage, a mass cancellation or a closure. Normal demand assumptions will not hold.

If you are unsure, send nothing. The next opportunity is tomorrow.
